Creating Contacts & Speed Dial In Microsoft Teams

Creating contacts and speed dials in Microsoft Teams is essential for the power user who spends a lot of time communicating with their coworkers. Having an address book that is organised and streamlined for work plays a role in improving your productivity output.

Teams supports in-app contacts and contacts from your address book in Outlook. It is important not to duplicate contacts between these sources, otherwise you will end up with incorrect contact cards in Teams that may fail to work correctly.

Microsoft Teams also supports Speed Dials. Speed dial is separate to a contact list as it allows you to create a shorter list of no more than 10 people or numbers you call so frequently, they deserve to be within immediate and easy reach for you.

Adding a Speed Dial to Microsoft Teams

You can add a speed dial directly from your call history or your contact list within Microsoft Teams. To add from the call history section, simply click the ellipsis (…) on the person or number you want to add as a speed dial and select “Add to Speed Dial“.

From the contacts tab within the calling app, you can add a speed dial by again clicking on the ellipsis on the contact row and selecting “Add to Speed Dial

Speed Dial In Microsoft Teams

When set your new speed dial will be showing on the main calling app screen. Unfortunately, it does not map to a key on the dial pad which is a shame.

Removing a Speed Dial

To remove a speed dial, simply hover over the contact and click the ellipsis and press remove.

Adding a Contact to Microsoft Teams

Building a contact list in Teams is a bit of an art form. Microsoft could do better. But for now there are three main locations that Teams will build it’s contact card information.

  1. Your Company Global Address Book – This is built from information stored about each account within the company directory.
  2. Your Outlook Contacts – This is built from the list of personal contacts you have created in your Outlook
  3. Teams Manual – This is built from you manually creating a contact in Teams.

Without going into too much detail, it is recommended not to create duplicate contacts in Teams as information will get skewed.

For internal contacts within the company it is best to search for them by name and add them directly to your contacts list. You can do this directly from the chat app by clicking on the ellipsis next to their name and selecting “Add to favourite Contacts“.

Or you can do the same from the call history view in the calling app.

This way you make sure that their contact information is kept up to date by your company directory.

If you have external contacts in your personal contacts address book in Outlook, these will automatically show in your Teams contact list. Continue to manage them from your Outlook.

If you do not have a contact in either address book, then you can use Teams to add the contact manually. To do this, click on the contacts tab in the calling app and press “Add Contact“.

Add the name or number of the contact and press Add

Enrich the contact card with a name and company information if you have it and press Add

Remove a Contact

To remove a contact, simply click the ellipsis next to the contact and select “Remove Contact

Block a Contact

Another reason to add a contact could be to block them. At the moment, you can only block external phone number contacts, not internal people. It is useful if you receive a spam call , to create a contact for the Caller ID and then block them from the drop down menu.

You can manage your block list and automatically block callers without a Caller Display.
